When a customer uses Nexa ProRoute, NexaSquared may process account, customer, contact, service-location, order, schedule, route, worker assignment, field completion, communication, invoice, payment-status, inventory and support-request data on the customer’s instructions. Customers control the information they enter and are responsible for having an appropriate lawful basis and giving required notices to their staff and customers.

Mobile and routing features may process device, connectivity, synchronisation and location-related information where the customer enables those features and applicable permissions are granted. Location data is used only for configured operational purposes and is not sold or used for third-party advertising.

Support requests submitted through the public Nexa ProRoute contact page are used to respond, diagnose issues, maintain service records and protect the platform. Do not submit passwords, one-time codes, private keys or full payment-card details.

Google user data

NexaSquared uses Google Calendar access only to create, update and remove calendar events for approved employee leave and staff unavailability. NexaSquared does not access Gmail, Google Drive, Google Contacts or Google Admin SDK data. NexaSquared does not sell Google user data and does not use Google user data for advertising.

OAuth tokens and refresh tokens are encrypted at rest and handled server-side only. Company Admins can disconnect Google Calendar at any time. Google Calendar events do not include sensitive leave details by default. Private notes, HR notes, approval comments, payroll information, medical information and sensitive employee information are not synced to Google Calendar.

Microsoft Outlook Calendar user data

NexaSquared uses Microsoft Graph calendar access only to create, update and remove calendar events for approved employee leave and staff unavailability in Outlook Calendar. NexaSquared does not access Outlook mailbox messages, OneDrive, Teams, SharePoint or Microsoft Admin data. NexaSquared does not sell Microsoft user data and does not use Microsoft user data for advertising.

If a company enables advanced Microsoft 365 / Outlook Calendar features, NexaSquared may process calendar event metadata such as dates, times, busy/free status and event identifiers to detect calendar changes, prevent duplicate events and support availability checks. NexaSquared does not use Microsoft calendar data for advertising and does not sell Microsoft user data. Private event titles and descriptions are not imported by default.
